Accountant

Reports to: Principal Partner
Status: Exempt


Duties:
•Process accounts payable
• Process payroll and payroll adjustments.
• Process checks and maintain all records pertaining to checks
• Confirm custodian benefits for expense reimbursements
• Communicate regularly with CFO regarding invoices & accounts receivables
• Bill other jurisdictions/agencies for fees
• Coordinate with investment department to make sure accounts are billed correctly
• Input and track all deposits and separate them out for advisor billing
• Coordinate with bank for deposit pick up
• Express Imaging Services pre-invoice completion
• Complete special projects as assigned

Minimum Education:
• Bachelor’s Degree Preferred
• Preferred CPA Designation

Skills and Experience:
• 3-5 Years of Accounting Experience
• Proficient in Accounting Software

Insurance Coordinator

Reports to: Director of Insurance
Status: Exempt

Duties:
• Process applications for life insurance, annuities, long term care, disability insurance.
• Track cases through all phases of the underwriting process.
• Follow up as needed with clients, insurance carriers and third-party vendors.
• Maintain client database records for cases and clients.

Minimum Education:
• Bachelor’s Degree preferred

Skills and Experience:
• 1 year of experience
• Required Licensed in Life and Health
• Preferred background in insurance and/or finance.
• Ability to build rapport over the phone with multiple insurance carriers.

Senior Administrative Coordinator

Reports to: Partner
Status: Exempt

Duties:  
• Review partner’s email and organizes accordingly
• Call clients as needed/ schedule meetings when time permits
• Draft written responses or replies by phone or e-mail when necessary
• Organizes and prioritizes large volumes of information and calls.
• Schedule and organize activities such as meetings, travel, conferences    
• Establishes, develops, maintains and updates filing system
• Types and designs general correspondences, memos
• Proofreads copy for spelling, grammar and layout, making appropriate changes  
• Complete and submit all insurance applications to carrier  
• Complete and submit delivery requirements to carrier
• Answer underwriting questions
• File case notes from dictations  

Minimum Education:
• Associates Degree or Bachelor’s preferred  

Skills and Experience:
• 5-10 Years of high level or senior level staff experience

Office Manager

Reports to: Principle Partner
Status: Exempt

Duties:
Office Manager/IT:

• Responsible for the facilities day-to-day operations
• Oversees general maintenance and repairs of facilities as needed, monitors cost of repairs for purposes.
• Interfaces with service vendors related to construction and/or repairs
• Oversees general maintenance and repairs of furniture and office equipment as needed, monitors cost of repairs and supplies for budgetary purposes.
• Negotiates the purchase of office supplies, furniture and office equipment for the company in accordance with budgetary restrictions.
• Works with partners in arranging and designing internal and external office moves as needed
• Procures and engages movers, installers and other vendors for services needed.
• Serves as Liaison to building management for routine maintenance, repairs, parking and security.
• Serves as IT Backup for all internal IT issues including printers and copiers on site.

Contract & Licensing:
• Responsible for completing Advisor’s Insurance Carrier Appointment Requests
• Maintain Advisor Appointment Logs
• Monitor and maintain Apollon’s Insurance State Licensing
• Responsible for coordinating Advisor registration status with PKS
• Work with Compliance on required trainings and continued education requirements

Minimum Education:
• Bachelor’s degree is required

• 3-5 Years of experience in office management role
